Vectis Studio LLC ("we," "us," or "our") respects your privacy. This Privacy Policy explains how we collect, use, and protect your personal information when you visit vectisstudio.com or use our services.

Information We Collect

We collect information you voluntarily provide to us, including:

• Name, email address, phone number, and business name when you submit our contact form
• Email address when you subscribe to The Vectis Brief newsletter
• Information you share during consultations or while using our services

We also collect basic analytics data such as page views and traffic sources to understand how visitors use our site. We do not use tracking cookies for advertising purposes.

How We Use Your Information

We use the information we collect to:

• Respond to your inquiries and provide requested services
• Send you our newsletter if you have subscribed
• Send you SMS messages if you have opted in to receive them
• Improve our website and services
• Communicate with you about projects and deliverables

SMS Messaging

If you opt in to receive SMS messages from Vectis Studio by checking the consent box on our contact form, by texting START to our business number, or by providing verbal consent during a consultation, we may send you appointment reminders, project updates, follow-up messages, and other business-related communications.

Message frequency varies. Message and data rates may apply. You can opt out of SMS messages at any time by replying STOP to any message. Reply HELP for assistance. Your consent to receive SMS messages is not a condition of purchasing any goods or services.

We will not share your phone number or SMS opt-in information with third parties for their marketing purposes.

FlipLog Expense Logging Service

FlipLog is a text-message-based expense logging service that Vectis Studio builds and operates for individual clients. If you use FlipLog, you send expense details to a dedicated business phone number by SMS, and the service records and organizes them for you. This section describes how FlipLog handles the information you submit.

Through FlipLog we collect and process:

• The content of the text messages you send, including expense amounts, descriptions, categories, dates, and the property or project an expense belongs to
• Any receipt photos or images you choose to send by text message
• The phone number you send messages from, used to identify your account and return confirmation messages

We use this information only to log your expenses, organize them by property or project, send you confirmation and summary messages, and, if you have connected an accounting platform, record those expenses in that platform on your behalf. We do not use FlipLog data for advertising, and we do not sell or share it with third parties for their own purposes.

FlipLog relies on a small number of service providers to operate: a messaging provider (Twilio) to send and receive text messages, a data platform (Airtable) to store your expense records, an automation platform (n8n) to process and route the data, and an AI provider (Anthropic) to read the text of your messages and turn it into structured expense entries. Each provider receives only the information needed to perform its function.

QuickBooks Online Integration (Intuit)

If you choose to connect FlipLog to your QuickBooks Online account, we integrate with Intuit using its official, secure authorization process (OAuth 2.0). We never see, receive, or store your QuickBooks or Intuit username and password. You grant access directly through Intuit and can revoke it at any time.

When connected, FlipLog uses your QuickBooks data solely to record your business expenses in your own QuickBooks Online company. Specifically, we:

• Read reference information from your QuickBooks company, such as your chart of accounts, expense categories, vendors, and payment accounts, in order to map each expense correctly
• Create expense and purchase transactions in your QuickBooks company based on the information you submit through FlipLog

We access only the data needed to provide this service. We do not use your QuickBooks data for any purpose other than recording and organizing your expenses, and we do not sell, rent, or share your QuickBooks data with any third party for their own marketing or commercial purposes.

The secure access tokens that allow FlipLog to connect to QuickBooks are stored in encrypted form and are transmitted only over secure (HTTPS) connections. Access is limited to the QuickBooks company you have authorized.

You may disconnect FlipLog from QuickBooks at any time, either by contacting us or by removing the connection from within your Intuit account settings. When you disconnect, we stop accessing your QuickBooks data and revoke the stored access tokens. You may also request deletion of the expense records FlipLog holds for you at any time by contacting us at the address below. Our use and transfer of information received from Intuit APIs adheres to the Intuit Developer Terms, including any applicable limited-use requirements.

Newsletter

If you subscribe to The Vectis Brief, we use Beehiiv to manage our email list. You can unsubscribe at any time by clicking the unsubscribe link at the bottom of any email.

Information Sharing

We do not sell, rent, or share your personal information with third parties for their marketing purposes. We may share information with service providers who help us operate our business (such as email platforms and hosting providers), but only to the extent necessary for them to provide their services to us.

Data Security

We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Your Rights
